Viewing and Scheduling a Report

The Report View page in FieldEx is where users review saved reports, apply filters, export data, and schedule automated email deliveries. This page displays the final output of a report based on its saved fields, sorting, grouping, and filters.

Understanding the Report View Page


When you open a saved report, FieldEx displays its name, module, key action buttons, the results table, optional filters, and total record information. This is where you explore the report output without modifying its original setup.

Tip: Use the Report View page when you want to explore or export results without changing the structure of the report itself.

Header Actions and Options


Header layout

  • Report Name - displayed at the top of the page.

  • Module - shows the module used for the report.

Header buttons

  • Back - returns to the Reports list.

  • Refresh - reloads the data in the table.

  • Filters - opens the filter sidebar so you can apply or adjust filters.

  • Edit - opens the Report Builder with all saved configurations pre-loaded.

  • More Options - opens additional report actions:

    • Save - saves any changes made in the view (where applicable).

    • Schedule - opens the Schedule Configuration popup.

    • Delete - opens the delete confirmation popup.

Working with the Report Table


The table displays data based on the saved fields in the report. You can adjust sorting or remove columns directly from the table view.

  • Sort Ascending - sorts the column in ascending order.

  • Sort Descending - sorts the column in descending order.

  • Remove Column - removes the column from the report view.

Using the Filter Sidebar


The filter sidebar lets you modify or apply filters without editing the report structure.

  • Filters - sidebar title.

  • Close Sidebar - closes the panel.

  • Select Filter - choose from available filter fields. Options match the fields built into the report. Required filters are marked with *.

  • Reset Filters - resets back to the default saved filters.
    Apply - applies current filter selections to the report.

Total Records Bubble and Export


The total records bubble summarises how many rows were returned by the report and includes the Export button.

  • If fewer than 2,000 records:
    “Showing a total of [Total Records] records.”

  • If more than 2,000 records:
    “Showing first 2000 of [Total Records] records. Export this report to view all records.”

  • Export - opens the export popup to download as CSV, Excel, or PDF.

Empty States and Required Filters


Some reports require specific filters before results can be returned. If required filters are not set, the table may appear empty until you apply valid filter values.

Tip: If your report shows no results, open the filter sidebar and confirm that all required filters have values before refreshing or exporting.

Scheduling a Report


Scheduling a report allows FieldEx to automatically generate and email the report to selected users, groups, or external recipients on a recurring basis. Scheduling is configured from the Report View page.

  1. Open the report you want to schedule to load it in the Report View page.

  2. In the top-right corner, open More Options and select Schedule. This opens the Schedule Configuration popup.

Tip: You can only schedule a report after it has been saved. If the “Schedule” option does not appear, return to the report builder and save your report first.

Schedule configuration includes:

  • File Type - select CSV, Excel, or PDF.

  • Schedule Duration - choose start and end date, or set to “Never” if it should continue indefinitely. Once the schedule has started, the start date cannot be edited.

  • Frequency - choose Daily, Weekly, or Monthly and complete any related timing fields. Monthly schedules use the first or last occurrence of a chosen weekday (for example, first Monday of the month).

  • Recipients - choose users, groups, or enter email addresses manually. At least one recipient is required.

  • Actions:
    Cancel - close the popup
    Remove Schedule - delete the existing schedule
    Proceed - save your schedule settings

Removing an Existing Schedule


If a schedule is no longer needed, you can remove it from the same Schedule Configuration popup.

  1. Open the report, then open More Options and select Schedule.

  2. Click Remove Schedule and confirm the removal.

Tip: Removing a schedule does not affect the report itself. The report remains available and can be scheduled again at any time.
