Preventive and Corrective Maintenance are two pillars of asset care in FieldEx. Planners can proactively set up recurring service routines to avoid breakdowns and when issues do occur, corrective jobs can be generated instantly based on inspections or field reports.

This article helps you understand:

  • How to set up Preventive Maintenance schedules and frequencies

  • How to auto-generate jobs using templates and spare parts

  • How Corrective Maintenance jobs are triggered from failed inspections

Preventive vs Corrective Maintenance


In FieldEx, these maintenance types are managed separately but often work together:

Setting Up Preventive Maintenance


Path: Settings > Modules > Preventive Maintenance > Configuration > New

Use this setup to create maintenance plans that trigger jobs automatically.

  1. Open the Preventive Maintenance module and click Configuration > New

  2. Provide a descriptive name (e.g., “Quarterly Equipment PM – Zone A”)

  3. Enable Send Reminder and define:

    • Initial reminder (e.g., 3 days before)

    • Follow-up and overdue reminders

  4. Choose reminder recipients: Teams, roles, or users (e.g., Technicians – North)

  5. Click Save to activate the template

Best Practice: Use naming conventions like “Monthly – HVAC PM” to keep templates clear and searchable.

Configuring Maintenance Frequencies


Path: Preventive Maintenance > Open Schedule > Frequency Tab > New

Frequencies determine how often a job is created (e.g., every 2 weeks).

  1. Name your frequency (e.g., “Weekly Visual Check”)

  2. Select a User Group responsible (e.g., Field Team A)

  3. Choose frequency type (Day/Week/Month/Year) and interval (e.g., every 3 months)

  4. Choose a job order template and enable Auto-Generate Job Order

  5. Exclude weekends or holidays if needed

  6. Click Save

Linking Spare Parts to Maintenance


Path: Preventive Maintenance > Frequency Tab > Open Frequency > Parts Tab > New

  1. Search and select predefined parts (e.g., Gasket, Oil Filter)

  2. Specify quantities (e.g., 2 units per service)

  3. Click Save. Parts are now automatically added to job orders

This ensures technicians are always assigned with the right spares—reducing delays and improving field readiness.

Linking Maintenance Plans to Assets


Path: Assets > Open Asset > Contracts Tab > New > Maintenance Schedule Tab

  1. Create a contract for the asset (Customer, Dates, Custodian)

  2. Switch to the Maintenance Schedule tab

  3. Select the preventive maintenance template and start date

  4. Enable Auto-Generate Job Orders and set reminder rules

  5. Click Save. Now, jobs will now trigger automatically

Example: Assign “Monthly Coffee Machine Descaling” to 50 assets FieldEx will trigger jobs for each, send reminders, and attach required parts automatically.

Triggering Corrective Maintenance


Corrective jobs are often created as a result of failed checklists.

Example scenario:

  1. Technician inspects a machine using a mobile checklist

  2. A question is marked as Failed or flagged “Needs Follow-Up”

  3. FieldEx triggers a new corrective job order for Planner review

You can configure this under your checklist rules or automation settings.
