In Fieldex, checklists can be configured to automatically trigger job orders, assign tasks, and request spare parts based on checklist responses. This automation ensures that critical maintenance actions are taken without manual intervention, improving efficiency and reducing equipment downtime.
Triggering Job Orders, Tasks, and Spare Part Requests from Checklists
Path: Checklist Module > Completed Checklist > Checklist Details Page
Please note: Users must have the necessary permissions to create job orders and assign tasks. |
Step 1: Viewing Triggered Actions on the Checklist Details Page
Once a checklist is submitted, the system automatically generates job orders, assigns tasks, and requests spare parts if conditions are met.
How to Review Triggered Actions:
Open the completed checklist in FieldEx.
Navigate to the Checklist Details Page.
Review all checklist responses and the resulting triggered actions.
Check the following tabs for triggered actions:
Job Order Tab: Displays the generated job order linked to the checklist response.
Tasks Tab: Shows assigned tasks related to the job order.
Spare Parts Tab: Lists any spare parts that were automatically requested.
Why This Step Matters: Automating job creation and spare part requests ensures that necessary maintenance actions are taken immediately without manual processing. |
Step 2: Reviewing the Triggered Job Order
If a checklist response indicates a critical issue, FieldEx automatically creates a job order to address it.
How to View the Job Order:
Navigate to the Job Order Tab from the Checklist Details Page.
Tap on the job order to view its details.
Example Job Order Details:
Asset: The affected asset (e.g., Tractor).
Job Type: The maintenance category (e.g., Tractor Maintenance).
Priority Level: The urgency assigned to the job order.
Assigned Technician: The responsible field agent for the job.
Example Use Case: If a technician selects "Major Leak Present" in an inspection checklist, FieldEx automatically generates a "Tractor Maintenance Job Order" to ensure immediate follow-up. |
Step 3: Checking Assigned Tasks
Tasks linked to the job order ensure that technicians know exactly what actions are required to resolve the issue.
How to View Assigned Tasks:
Navigate to the Tasks Tab within the checklist details.
Review the tasks assigned to technicians for the job order.
Example Tasks :
Inspect the engine seals to identify leak sources.
Replace damaged hoses to prevent further leaks.
Run a pressure test to confirm repairs.
Why This Step Matters: Tasks ensure that inspections and repairs are performed systematically, preventing oversight and improving service efficiency. |
Step 4: Verifying Spare Part Requests
If a checklist response indicates that a part needs replacement, FieldEx automatically lists the necessary spare parts that were specified during the checklist configuration.
How to Check Spare Part Requests:
Navigate to the Spare Parts Tab within the checklist details.
Review the parts that were requested for the job order.
Example Spare Part Requests:
Replacement gasket to seal the engine properly.
Hydraulic fluid to replenish lost fluid from the leak.
Why This Step Matters: Automating spare part requests ensures that technicians have the required materials available, minimizing downtime and preventing job delays. |
