The Inventory module in FieldEx helps teams track the movement, availability, and consumption of spare parts, consumables, and maintenance stock across multiple locations. From warehouse bins to technician vans, FieldEx provides full traceability of what's stored, used, or transferred.

What FieldEx Inventory Can Do


  • Track spare part stock by bin, location, or technician

  • Transfer items between warehouses, users, or jobs

  • Assign spare parts to job orders and tasks

  • Auto-deduct stock after field use, based on selected bin

  • Log inventory movement (quantity in/out, transfer records)

  • Set reorder thresholds for each bin

  • Support user bins (e.g., technician trucks or mobile kits)

Inventory is integrated into job workflows, so field activity directly impacts real-time stock levels. You can also preload spare parts into job templates or task templates for consistent usage planning.

Inventory in FieldEx is organised into a three-level hierarchy:

Tip: User bins are automatically generated for technicians with bin access, letting them manage their own mobile stock.

Transfer Approval Rules and Access Limitations


FieldEx includes safeguards to ensure inventory movement is controlled and authorised:

  • To initiate a transfer, the user must be either part of the user group or a store manager of the From Bin or To Bin.

  • All transfers must be approved by a store manager before taking effect.

  • If both the Location and the Zone have designated store managers:

    • Approval will be routed to the Zone-level store manager.

    • If the Zone does not have a manager, the Location-level manager will approve.

  • For User Bins, the user assigned to that bin must approve any incoming transfers.

Why This Matters: These rules prevent unauthorised transfers, maintain audit integrity, and ensure accountability in all stock movements.

Where Inventory Shows Up in Jobs


  • Spare Parts Tab inside Job Orders: Add parts and link to bins

  • Task Templates: Preload recurring task items

  • Checklist Triggers: Auto-request spare parts if issues are found

  • Preventive Maintenance: Link required items per job frequency

This ensures spare parts are aligned with job plans, stock availability, and technician logistics.
