In FieldEx, inspection checklists can do more than collect answers they can automatically trigger corrective actions when failures are detected. When a technician selects a specific answer (e.g., "Major Leak Present"), the system can instantly generate a follow-up job using a pre-configured job order template.

Linking Checklist Answers to Job Templates
Path: Settings > Workflow > Checklists > Open Checklist > Questions Tab
Select a checklist and open the Questions Tab
Click into a question that could lead to a failure or follow-up
Add or edit the answer options (e.g., “Major Issue / Needs Repair”)
For the relevant answer, link a Job Order Template from the dropdown
Click Save to apply the automation logic
When a technician selects this answer in the field, FieldEx will automatically create a job order using the linked template.

Where to Review Triggered Follow-Ups
After a checklist is submitted, triggered job orders, tasks, and spare parts can be viewed from the:
Path: Checklist Module > Completed Checklist > Checklist Details Page
Key tabs include:
Job Order Tab: Lists all job orders generated by failed responses
Tasks Tab: Displays any additional tasks triggered
Spare Parts Tab: Shows requested parts linked to those follow-up jobs or answers
Chaining Follow-Up Checklists
In addition to triggering jobs, you can also trigger a Follow-Up Checklist when the original checklist is completed.
Edit the original checklist settings
Enable the Follow-Up Checklist field
Select a secondary checklist to run after the first is completed
Example Use Case: After a technician completes a "Pre-Rental Tractor Inspection," FieldEx can trigger a “Pre-Delivery Checklist” to ensure final steps like cleaning, refueling, and documentation are completed. |
Best Practices
Only link job templates to answer options that require corrective or time-sensitive action
Use naming conventions to match templates to inspection type (e.g., “Repair – HVAC Leak”)
Test checklist responses in staging to confirm triggers are set correctly
