How to Use Checklist and Inspections

In FieldEx, checklists are used to guide technicians through consistent, compliant inspections whether for preventive maintenance, safety, or quality control. As a Planner, understanding how checklists work helps you manage job quality, trigger follow-up actions, and ensure asset data is always up to date.

  • How technicians use digital checklists on-site

  • Where to find submitted checklist data

  • How checklist answers trigger follow-up actions and updates

How Checklists Are Used in the Field


When a job or task with an attached checklist is assigned to a technician:

  1. Technician opens the checklist in the FieldEx Mobile App

  2. Each section and question appears in a structured order

  3. They select predefined answers, upload images, and provide notes as needed

  4. Some questions may auto-trigger job orders, tasks, or spare part requests based on the answers

  5. Once completed, the checklist is submitted and saved in the system

Where to Review Completed Checklists


After a checklist is submitted, Planners can view all responses and any triggered follow-up actions:

  • Path: Asset > Open Asset> Checklist Tab

  • Click the submitted checklist to open the Checklist Details Page

From there, you can view:

  • All submitted answers

  • Job Order: Any job automatically created from a failed answer

  • Tasks: Tasks generated from checklist logic

  • Spare Parts: Parts requested based on specific answers

Planner’s Role in Using Checklists


Planners are responsible for:

  • Ensuring the correct checklist template is attached to job orders/assets

  • Reviewing submitted checklists for exceptions or failures

  • Following up on automatically triggered job orders or tasks

  • Monitoring condition trends, failures, and asset health across inspection history

Tip: You don’t need to manually create a follow-up job every time, just make sure job order templates are linked correctly in checklist answer rules to automate it.

Common Use Cases


  • Preventive Maintenance: Monthly generator inspection with condition updates and meter readings

  • Quality Control: Receiving inspection checklist that flags damaged stock

  • Safety Check: Pre-use forklift checklist that disables use if safety issue is found
