Keeping assets in good condition is critical to safety, uptime, and compliance. In FieldEx, you can monitor asset condition using inspection jobs, digital checklists, and automatic updates based on field results.

This article covers:

  • How inspections are linked to jobs and checklists

  • How to view completed inspection records

  • How condition updates and status changes work

How Asset Condition is Managed in FieldEx

Asset condition is updated through structured inspection jobs using checklists. A typical process includes:

  1. Planner creates an inspection job and links the correct checklist template

  2. Technician completes the checklist in the mobile app

  3. Each checklist response is logged in the system

  4. If configured, the asset’s condition and status are updated based on the results

Why this matters: This process ensures condition tracking is based on real field data no manual guesswork or outdated logs.

How to View Completed Checklists

After an inspection job is completed, the submitted checklist can be reviewed at any time:

  • Path: Jobs > Open a Job Order > Checklist Tab

  • Click to view technician responses, photos, comments, and digital signatures

You can also view past inspections from the asset record:

  • Path: Assets > Open Asset > Checklist History Tab

This allows Planners to track inspection trends and identify recurring issues.

Condition Updates & Status Triggers

Some checklist items can trigger automatic condition changes:

  • Failing a critical step can set the asset condition to Faulty

  • Follow-up corrective maintenance jobs can be created automatically

Checklist questions can be tagged to update:

  • Asset Condition (e.g., Good, Fair, Damaged)

  • Asset Status (e.g., Available → Faulty)

  • Asset Meter Reading

Quick Guide: Run a Condition Inspection in the Field

Here’s how a technician performs a condition check in the mobile app:

  1. Open the FieldEx Mobile App

  2. Tap the QR icon and scan the asset’s barcode/QR label

  3. Choose the appropriate Checklist Template

  4. Complete the checklist step by step — including photos, remarks, or required signatures

  5. Submit the form — the asset's status and condition will update automatically if configured

This mobile workflow ensures real-time updates from the field to the platform.
