Using Digital Checklists

FieldEx provides digital checklists that guide technicians through inspections, maintenance tasks, safety protocols, and other field procedures. These checklists ensure that all steps are completed accurately and consistently.

Technicians can start a checklist in two ways: by using the Checklist module directly, or by scanning a tagged asset from the homepage and selecting Checklist from the list of available actions.

Useful Pre-requisites

  • Checklists must already be created and available in the system.

  • Ensure the asset is registered and has a QR or Barcode tag (for scanning method).

  • Complete all checklist questions carefully before submitting.

How to Start and Submit a Checklist

Path Option 1: Module > Checklists > New Checklist

  • Go to the Checklist module and tap New.

  • Select the asset and checklist template you want to use.

Path Option 2: Home > Scan > Asset > Checklist

  • From the homepage, tap the Scan button and scan the asset’s QR or Barcode.

  • Select Checklist from the list of available actions.

  • Answer each question in the checklist based on your inspection or service performed.

  • Tap Submit when done, or Save as Draft if you plan to complete it later.

Tip: If any checklist response falls outside acceptable limits (e.g. a failed check or safety concern), FieldEx can automatically trigger a Job Order or Task to follow up and resolve the issue.

Why Digital Checklists Matter

  • Ensure consistent procedures are followed during inspections or service jobs.

  • Support compliance and safety by requiring full documentation of checks.

  • Provide structured field data that feeds into reports and audits.

  • Enable automated responses when an issue is detected during checklist submission.
