Each asset is assigned a unique QR or Barcode that will be automatically generated based on the unique Serial Numbers.
The QR or Barcode feature is most useful when there needs to be immediate action taken towards specific assets. QR codes or barcodes can also be exported as PDFs in custom sizes, making them easy to print and attach to physical assets located around the premises.
What Can You Do With Scanning?
Path: Bottom Bar > Scan
Using the FieldEx Mobile App’s scan feature, technicians can perform multiple actions instantly by scanning an asset's QR code or barcode. Once scanned, you can:
Start a Checklist – Launch inspection or maintenance forms linked to the asset
Create a Job Order – Quickly raise a job with asset info pre-filled
Input New Logs – Record updated meter readings
Initiate a Transfer – Move the asset to a new location or bin
Asset Checklist
Path: Bottom Bar > Scan > Asset > Checklist
Scan the asset’s QR or Barcode using the in-app scanner.
Select Checklist from the list of actions.
Choose the checklist to generate for that asset.
Answer each question based on your inspection or task.
Submit the checklist once complete.
After submission, the checklist is recorded as a new entry. If any responses fall outside the acceptable threshold, such as a failed item or critical issue, FieldEx will automatically generate a Job Order to address and rectify the problem.
Asset Job Order
Path: Bottom Bar > Scan > Asset > Job Order
Scan the asset using the in-app scanner.
Select Job Order from the menu.
The asset details will be auto-filled.
Enter the Job Order name, type, scheduled date, and notes.
Tap Save to create the job.
This is especially useful when a technician identifies an issue on-site and needs to raise a job on the spot. After saving, it will now be added to the job list and ready for assignment or immediate execution.
Why this matters: This process ensures jobs are tied to the correct asset and reduces the risk of data entry errors. |
Asset Log
Path: Bottom Bar > Scan > Asset > Logs
Scan the asset code using the mobile app.
Select Logs to open the meter reading screen.
Input the updated meter value (e.g. hours, cycles, mileage).
Tap Save to confirm the log update.
Technicians can use the scanner feature in FieldEx to quickly log its meter readings directly. This eliminates the need for manual searching and ensures the correct asset is updated.
By updating readings immediately in the field, technicians reduce delays and avoid errors that can occur when data is captured manually or submitted later. This also helps ensure that future jobs are triggered based on actual usage, not guesswork.
Tip: Use this feature during inspections, servicing, or anytime you visit an asset where condition tracking is required. |
Asset Transfer
Path: Bottom Bar > Scan > Asset > Transfer
Scan the QR or Barcode of the asset you want to transfer.
Select Transfer from the list of options.
Choose the source and destination bin or location.
Review and confirm the transfer details.
Tap Save to complete the asset transfer.
This allows technicians to relocate an asset from one bin, site, or location to another without manually searching for the item.
Why This Matters
Enables fast, error-free identification of assets in the field.
Simplifies job creation, checklist execution, and condition tracking.
Ensures asset location and logs are updated in real time.
Reduces manual data entry and improves technician productivity.
