In FieldEx, inventory is classified into two main item types: Assets and Spare Parts. While both are managed, tracked, and used in jobs, they serve very different roles in your operations. Understanding the distinction is critical for correct system usage, accurate reporting, and field efficiency.

What is an Asset in FieldEx?


An Asset is a trackable, operational item that is typically installed, serviced, or used repeatedly over time. It has a unique identity, and its location, condition, service history, and status are all tracked throughout its lifecycle.

  • Has a unique serial number or ID

  • Assigned to a customer, site, or project

  • Tracked across jobs (install, repair, inspection, maintenance)

  • Can be mobile (e.g., assigned to a van or customer site)

  • Appears in job orders, checklists, asset logs, and dashboards

Example Use Cases:

  • A pressure washer installed at a client’s location

  • A generator used on multiple projects

  • A temperature sensor linked to SCADA

Used in: Asset module, Job orders (as the job subject), Preventive maintenance, Asset inspections, QR code tracking

What is a Spare Part in FieldEx?


A Spare Part is a consumable or replaceable component used to complete a job, repair an asset, or assemble equipment. It does not have its own lifecycle and is typically used once or in batches.

  • Has a stock quantity (tracked in bins)

  • Is consumed or installed during job execution

  • Replenished through restocking or transfers

  • Can be part of a kit or job template

  • Optional QR/barcode (used for scanning or stock lookup)

Example Use Cases:

  • O-rings, screws, cables

  • Lubricants and filters

  • Fuses, valves, hoses

  • Welding rods or cleaning fluids

Used in: Inventory module, Technician bins and transfers, Job order spare part tab, Preventive maintenance auto-kitting

Why This Matters


  • Assigning the wrong type leads to poor reporting and workflow errors

  • Spare parts should never be treated as assets even if they’re scanned

  • Assets should not be deducted from inventory they are not consumables

  • Planners and Admins should define item types carefully during setup
