FieldEx distinguishes between assets and spare parts in the inventory system both are essential to operations, but they play very different roles. Understanding this distinction helps Planners manage stock, track equipment lifecycle, and ensure jobs are resourced properly.

This article explains:

  • What qualifies as an asset vs a spare part

  • How they’re used differently in jobs and maintenance

  • Where they’re managed in the system

What’s the Difference?

Item Type

Description

Examples

Asset

A high-value piece of equipment that is tracked individually across its lifecycle

Excavator, air compressor, generator, vehicle, installed coffee machine

Spare Part

A consumable or replaceable item used during repairs or maintenance

Oil filter, gasket, seal ring, motor belt, lubricant

How Assets and Spare Parts Are Used

Assets are assigned to customers, sites, and jobs. They have unique IDs, histories, and conditions. You track:

  • Where the asset is located

  • Its usage and service records

  • Its lifecycle: installation, maintenance, repairs, relocation, and retirement

Spare Parts are stocked in warehouse bins, vans, or technician kits. They’re:

  • Added to inventory locations in bulk (with quantity)

  • Consumed during job execution

  • Linked to preventive maintenance templates or corrective tasks

Where to Manage

Assets:

  • Module: Assets

  • Tracked individually with full lifecycle tabs and history

  • Can be assigned to jobs, linked to checklists, and monitored for condition

Spare Parts:

  • Module: Inventory

  • Organised by SKU or part name

  • Can be linked to job orders or scheduled maintenance frequencies

  • Stored in locations like warehouses, technician vans, or bins

Tip: Assets are long-term tracked items with unique records; spare parts are short-term consumables used to support them.
