Setting Notification Preferences

Notifications in FieldEx help keep users informed about important updates, activities, and changes in the system. These alerts can be delivered via different methods (such as in-app or email) and are configurable either at the organisation level (for all users) or at the individual user level (overriding organisation settings).

Understanding Notifications


In FieldEx, notifications can be managed in two ways:

  • Org-Wide Notifications – Settings that apply to all users in the organisation unless individually overridden.

  • Profile-Based Notifications – Settings applied to specific users, overriding the org-wide configuration for that individual.

Org-Wide Notifications


Path: Setup Configuration > Notification

Admins can control organisation-wide notification preferences from the system’s configuration area. These settings determine whether specific notifications are active or inactive, the delivery method, and whether changes apply to all existing users or only new users.

Steps to Adjust Org-Wide Notifications

  1. Go to Setup Configuration from the main menu.

  2. Select Notification.

  3. Review the list of available notification types.

  4. For each notification type, choose:

    • Whether it is active or inactive.

    • Which delivery method(s) to use (e.g., in-app, email).

  5. Decide if changes should apply:

    • To all existing users, replacing their current preferences.

    • Only to new users going forward.

  6. Click Save to apply the changes.

Profile-Based Notifications


Path: User Profile > Notification

Admins can also adjust notifications for specific users. These changes override the organisation-wide settings for that user only. This is useful if certain users need fewer or more notifications than the default setup.

Steps to Adjust Profile-Based Notifications

  1. Navigate to the user’s profile in Setup Users.

  2. Select the Notification tab.

  3. Review the current settings for that user.

  4. Enable or disable notifications as needed, and choose the delivery method. 

  5. Click Save to apply the changes for that specific user.

Notification Categories & Details


The notifications list in FieldEx shows all available notification types, their descriptions, and the applicable delivery methods. This list helps admins understand which events can trigger notifications and how they can be configured.

Job Order Notifications

Sent when you are assigned as order owner for a Job Order

Job Order Completion

Sent to the order owner's manager when a Job Order status changes to 'Completed'

Survey Response Received

Sent to the owner when a Job Order receives a survey response from a customer

Preventive Maintenance Notifications

Normal User Rejected a Task

Sent when a normal user assigned to the Task rejects it

Task has been Rejected by Owner

Main Task has been Completed

Sent when a task's overall status is marked as completed

Individual Task has been Completed

Sent when an assigned individual marks their Task as complete

Assignor has Deleted a Task

Sent when a Task is deleted
