The Audit Trail and Accountability feature ensures complete transparency and traceability for all asset and inventory movements within the system. Every transaction, from request creation to approval and final transfer, is automatically recorded for review and reporting purposes.
Transaction Records
Every transaction whether it’s a consignment or requisition is tracked in detail.
The system logs the date and time of the transaction.
It records the user who initiated the request and all subsequent approvers.
Any status changes (pending, approved, rejected, transferred) are documented.
These records allow management to verify the full history of an item’s movement and ensure compliance with internal processes.
Approved Transaction Documentation
For approved transactions, the system automatically generates PDF documentation containing:
Transaction details (item, quantity, origin, destination)
Approval history with timestamps
Signatures or approver names
Reference numbers for audit purposes
These PDFs serve as official records and can be downloaded or stored for future audits.
Transfer Tracking
Within Inventory > Transfers, users can view:
All pending transfer transactions, including those initiated through consignment or requisition notes.
Detailed information about the transfer origin, destination bin/location, and expected completion date.
Real-time status updates to ensure smooth tracking from request to final delivery.
Accountability Features
User-specific actions: Every step is linked to the user who performed it.
Immutable logs: Records cannot be altered, ensuring data integrity.
Centralized history: A full record of activities is accessible for internal review and external audits.
By consolidating records, generating downloadable approvals, and providing a centralized view of pending transfers, the Audit Trail and Accountability function guarantees that every movement and request in the system is documented, traceable, and auditable. This not only ensures operational transparency but also reinforces compliance and accountability across all inventory and asset activities.
