FieldEx keeps a detailed audit trail for every inventory or part movement allowing teams to trace quantity adjustments, bin transfers, and user actions. This article explains:
Where to view transfer logs and quantity change history
What information is tracked for each action
How to use this data for audits and accountability
What Is the Inventory Audit Trail?
The Inventory History screen in FieldEx acts as a full audit log. Every time a user moves parts between bins or adjusts quantities, the system records it as a new entry with timestamps and responsible user.
Audit logs are automatically captured for:
Bin-to-bin transfers (including technician/user bins)
Quantity adjustments (manual edits or system updates)
Received stock and removed stock transactions
Returned unused parts from jobs
Why this matters: The audit trail is essential for internal controls, inventory reconciliation, and understanding how spare parts are being consumed or returned across the field. |
Where to View Inventory History
Use the Inventory History tab to view a live log of all inventory-related actions.
Path: Inventory > History
Field | Description |
Spare Part | Name of the part or item adjusted |
Asset | Linked asset, if any, related to the transfer |
Display Name | Who performed the action (e.g., technician or admin) |
Old Qty | Quantity before the transfer or adjustment |
Newly Adjusted Qty | New quantity after the change |
Time & Date | Exact timestamp when the action was recorded |
Using the Audit Trail for Operational Checks
Inventory movement records help different teams verify field accuracy and spot anomalies. Common use cases include:
Warehouse audits to reconcile stock levels
Tracking part usage against specific jobs
Reviewing returns of unused parts
Cross-checking actions by specific users or time periods
Tip: You can export inventory history reports for audits or filter by date, user, or part type to narrow down the review scope. |
