Updating Stock Quantities

Keeping stock quantities accurate is essential for ensuring the right parts are available when needed. In FieldEx, spare part quantities are updated through the Adjust Inventory screen, which allows users to increase, reduce, or reset bin stock levels.

Adjust Inventory


Path: Inventory > Adjust Inventory

  1. Open the Inventory module

  2. Click Adjust Inventory

  3. Choose Adjust a Spare Part tab

  4. Select the spare part you want to update

Once the part is selected, you’ll see a list of all bin locations it’s currently linked to. For each bin:

  • Quantity In: Add new stock (e.g., new delivery or internal transfer)

  • Quantity Out: Subtract used, damaged, or removed stock

  • Adjusted: Set the exact stock count manually (used to correct errors)

  • Reorder Quantity: Define how much should be stocked during reorder events

  • Understock: Set the minimum threshold for triggering alerts

  • Note: Add a comment to explain the change (e.g., “Refilled from HQ”, “Adjustment after audit”)

Click Save to apply all changes.

Tip: Use Quantity In and Quantity Out for normal stock movement. Use Adjusted to override the quantity if doing a full correction (e.g., after an audit).

When to Update Stock Quantities


  • After receiving new stock: Use Quantity In

  • After issuing parts to jobs without transfer: Use Quantity Out

  • During stock audits: Use Adjusted to set true quantity

  • To set up understock tracking: Fill in Understock Threshold
