Assigning work orders ensures that field tasks are directed to the right technician or team without delay. FieldEx supports both manual and automated assignment methods, allowing planners to maintain control while reducing coordination overhead. This guide walks you through how assignment works and how to carry it out efficiently.
Useful Pre-requisites
You must have Planner or Admin role permissions.
The Work Order must be created and saved first.
Teams and Users must be configured in the system.
How Assignment Works in FieldEx
Each job order in FieldEx must be assigned to at least one technician (or team member) before it can be executed in the field. Assignment determines:
Who will see the job in the mobile app
Who receives notifications and reminders
Who is accountable for task execution and reporting
You can assign:
Directly to an individual user (e.g., a specific technician)
To a team or user group
Using Smart Assign (FieldEx suggests the best user based on availability, role, and zone)
How to Manually Assign Work Orders
Path: Job Order > Task > Create New Task
Open the Job Order you want to assign.
Navigate to the Tasks tab.
Click New Task if not already created.
In the task details, use the Assigned To field to select:
A specific user
A role or user group
Fill in task timing (start/end) and notes.
Click Save.
The technician will now see the assigned job in their mobile app.
How to Use Smart Assign
Path: Job Order > Task > Create New Task
Navigate to Job Orders > Select a Job.
Go to the Tasks tab and click Smart Assign.
Review the suggested technician or team.
Click Assign to confirm.
Click Save.
Use this method when managing high volumes or dispatching jobs across large teams.
Why This Matters
Eliminates confusion over job ownership
Ensures timely service
Balances workload among technicians
Improves accountability and tracking
It’s especially useful when coordinating multi-task jobs, where each task can be assigned to different users.
