In FieldEx, tracking where your assets are and how they’ve moved over time is a core part of effective asset management. This article covers:
How FieldEx records asset location using Customer, Site, and Project links
How GPS coordinates enhance visibility
How to access full movement history, including status changes and inventory transfers
What Is an Asset's "Location" in FieldEx?
Assets in FieldEx can be linked to different types of locations that give operational context:
Location Type | What It Means |
Customer | Who owns or rents the asset |
Site | Where the asset is physically placed (e.g., a branch or warehouse) |
Project | Which job or operational assignment the asset supports |
GPS & Address Tracking
Each asset record can also store:
Street address (Street, City, State, Postcode, Country)
GPS coordinates (Latitude & Longitude)
Service zone grouping (for assignment filters)
Why this matters: GPS and zone tracking helps visualise asset locations on maps, improves routing for field teams, and supports location-based asset filters. Available in: Both the FieldEx Web System and Mobile App |
Understanding Movement History
FieldEx keeps a complete timeline of an asset’s journey who used it, where it was placed, and when changes occurred. This is split into two main tracking views:
1. Lifecycle Movement
Path: Assets > Open an Asset > History Tab
This view includes:
Previous statuses (e.g., Available, Under Repair, Retired)
Previous customers (ownership history)
Historical site assignments
Who made the change and when
Linked job references (if applicable)
2. Inventory Movement Log
Path: Inventory > Inventory History
This view tracks how assets were physically moved across:
Location Bins (e.g., warehouse storage)
User Bins (e.g., technician toolkits)
Each log entry includes:
Source and destination
Date & time of the transfer
User who performed or approved it
Quantity (for inventory items)
Use this for: Warehouse audits, technician accountability, and ensuring assets are accurately tracked throughout their lifecycle. |
Viewing Movement History
Path: Assets > Select Asset > History Tab
Go to the Assets module and select an asset.
Open the History tab.
Review the full timeline of recorded movements, including:
From and To locations (Site, Project, User, Bin)
Movement reason (if provided)
Date and time of movement
User who performed the action
This includes both manual transfers and job-triggered updates.
Recording a Manual Movement
Path: Assets > Transfer Asset
Navigate to the Assets module.
Select Transfer Asset from the action menu.
Choose the asset(s) to be transferred.
Define the From and To locations:
Options include Sites, Projects, User Bins, and Warehouses.
Add optional remarks or a movement reason.
Click Confirm Transfer.
The asset’s Bin field will update, and the movement will be logged in the Location History.
Movement Triggered by Jobs
Jobs like Pickup or Installation may update an asset’s location automatically.
Logic must be configured correctly to ensure the transfer occurs during job completion.
System-triggered movements are recorded the same way as manual transfers.
This ensures that job actions reflect accurate real-world asset locations.
Pending Transfers
If a transfer is awaiting approval, a Pending Transfer indicator appears beside the Bin field.
Hovering shows a tooltip: “A transfer request is pending approval for this asset. The location will be updated to [newBinName] upon approval.”
The Bin field is locked until the transfer is completed or canceled.
Why This Matters
Ensures full traceability of asset movements across the business.
Helps planners verify where assets are deployed and who is responsible.
Supports audits, reporting, and inventory accuracy in real time.
