Configure Your Asset Life Cycle

Getting your assets set up right is the foundation for tracking, servicing, and reporting accurately in FieldEx. This includes configuring how asset records are numbered, how barcodes are assigned, and how each unit is typed, categorized, and geographically zoned.

Why this matters: Your asset configuration determines what technicians can see, how planners schedule, and how reports stay accurate. This setup is critical.

Asset Main Configuration


Path: Setup > Modules > Assets > Configuration

Similar to customer format, the asset numbering format controls how IDs are auto-generated for new equipment.

  • {0} – Required. Base numeric sequence with leading zeros.

  • {YYYY}, {MM}, {DD} – Optional. Represents creation year, month, or day.

Examples:

  • AST-{000000} ➝ AST-000123, AST-000789

  • EQP/{YYYY}/{0} ➝ EQP/2025/000123

QR / Barcode Configuration


Path: Setup > Modules > Assets > Configuration

FieldEx supports generating unique QR or barcode codes for each asset. This enables quick scans in the mobile app for servicing, inspections, or equipment lookups.

  • QR Generator: Creates a QR code scannable with most mobile devices

  • CODE128 / CODE128B / CODE39: Barcode formats compatible with FieldEx mobile application

Configure Asset Status and Type


Path: Setup > Modules > Assets > Picklists

Asset Status

Statuses define the current stage of the asset lifecycle (e.g., Active, In Repair, Retired, On Loan).

  • Click New on the Asset Status picklist

  • Fill in:

    • Label: Display name (e.g., “Active”)

    • Code: Internal reference

    • Color Code: Assign colour for quick visual differentiation

    • Order: For sorting

    • Status / Default: Mark as active and optionally default

Asset Type

Asset Types describe the categories or models of equipment in your business (e.g., coffee machines, air compressors, diesel generators).

  • Same structure as Asset Status:

    • Label, Code, Order, Status, Default

Important: These types are reflected in dashboards, job assignments, and asset filters.

Define Service Zones


Path: Setup > Modules > General > Picklists > Service Zone

Service Zones help divide your assets geographically or operationally. You can use zones to define planner responsibility, scheduling clusters, or maintenance routes.

  • Click New on the Service Zone picklist

  • Fields include:

    • Label

    • Code

    • Order

    • Status

    • Default

Example: Use zones like “Central Region”, “Warehouse A”, or “US Downtown” to align asset servicing with technician coverage.
