Asset Lifecycle

In FieldEx, the asset lifecycle represents the journey of an asset from acquisition through operation, maintenance, and eventual retirement. Managing this lifecycle properly ensures that every stage such ad usage, servicing, repairs, and replacement is tracked, documented, and visible.

Defining Asset Lifecycle Stages


Path: Settings > Modules > Assets > Picklists > Status

FieldEx allows you to create as many asset statuses as needed to reflect your business processes. Common examples include:

  • Operational – Asset is active and usable

  • Under Repair – Temporary downtime due to a fault

  • Awaiting Inspection – Pending post-maintenance checks

  • Retired – No longer in use

  • Ready to Rent – Available in the rental pool again

Best Practice: Use status labels that are easy for all teams (field and back office) to interpret consistently.

How Asset Status Changes Work


Asset statuses can be changed manually, automatically via job orders, or dynamically through checklist submissions.

  • Manual Change: Go to Assets > Select Asset > Edit > Change Status field

  • Via Job Completion: Job templates can prompt a status change after certain types of jobs

  • Via Checklist: When enabled, technicians can update asset status while submitting inspection checklists

Example: A technician marks “Needs Repair” during a maintenance checklist. The asset status auto-updates to “Needs Repair”

Tracking Status Changes in Asset History


Path: Assets > Select Asset > Details Tab (Overview/Timeline) or History Tab

Every time an asset’s status is changed, FieldEx logs the event automatically with:

  • The old status value and new status value

  • Date and time of change

  • Who made the change (user or system)

This creates a full traceable record of the asset’s condition over time. This is useful for audits, maintenance planning, and replacement forecasting.

Why Asset Lifecycle Tracking Matters


Lifecycle visibility helps teams make smarter decisions about:

  • When to service or retire equipment

  • Which assets are underutilised or frequently breaking down

  • How much downtime is caused by poor condition

  • Whether rental assets are being cycled properly

With FieldEx, each status transition from “New” to “Operational,” “Under Maintenance,” “Repaired,” or “Retired” is part of a full asset history that supports lifecycle analysis and planning.
