In FieldEx, job templates and task templates help Planners save time and maintain consistency by predefining repeatable work structures. Instead of building every job from scratch, you can apply a template that pre-fills tasks, assets, work types, checklists, and more.

This article explains:

  • The difference between job templates and task templates

  • How to apply a template when creating jobs

  • How to create and manage templates in system settings

What’s the Difference?

Template Type

Used For

What It Includes

Job Template

Creates the overall structure of a work order

Work order type, title, instructions, asset filters, customer/site links, priority, preloaded checklists, tasks

Task Template

Adds predefined tasks into a job (used alone or within a job template)

Task name, checklist, assigned technician or team, estimated time, task instructions

How to Use a Job Template When Creating a Job

Path: Jobs > New Job Order > Select Template

  1. Click Create New Job via Template

  2. Select a Job Template from the dropdown

  3. The system will auto-fill all linked fields, including title, type, tasks, checklist, and assignment rules

  4. Adjust any values if needed (e.g., add a new asset or change the site)

  5. Click Save and your job is ready with everything preloaded

This is especially useful for recurring jobs like PM routines, common repairs, or equipment installation jobs.

How to Use Task Templates in a Job

During job creation or editing, you can insert a predefined task using:

  • Path: Jobs > Open Job > Tasks Tab > Add Task > From Template

Choose a saved task template to instantly populate the task name, checklist, time estimate, and assignment.

How to Create or Edit Templates

Path: Settings > Modules > Job Templates / Task Templates

  1. Click New to create a template

  2. Enter the template name and description

  3. Select the work order type, checklist, priority, linked site/project/customer (if any)

  4. Optionally add task templates inside the job template

  5. Click Save

Real-World Examples

  • PM Job Template: “Monthly HVAC Inspection – Standard” → Includes a 3-task sequence, pre-linked checklist, and preset asset tags

  • Corrective Task Template: “Seal Replacement” → Used by Planners to quickly add a task to existing jobs when leakage is detected

  • Install Template: “Coffee Machine Installation – Small Outlet” → Preloads all install steps, checklists, and tech team
