FieldEx enables Admins to automate job order creation using templates, tasks, and spare parts. This guide walks Admins through how to:

  • Set up Job Order Templates that pre-fill tasks and spare parts.

  • Create Task Templates for reusable task logic.

  • Use these templates to automate job population during creation.

These elements are also used with dynamic checklists that can trigger corrective actions, tasks, or spare parts automatically.

Create a Job Order Template with Preloaded Tasks and Spare Parts


Path: Settings > Modules > Job Orders > Templates

1. Click “New” to create a template.

2. Enter General Template Info:

  • Name: e.g., “Espresso Machine Installation”

  • Status: New

  • Type: Installation

  • Notes: Add standard instructions

3. Define Job Details:

  • Default Order Date (e.g., +1 day)

  • Service Zone / Site (if fixed)

4. Asset, Fault, and Resolution Fields (optional):

  • Assign system (e.g., Electrical)

  • Fault: “Leaking Hose”

  • Resolution: “Replace O-Ring”

5. Attach Predefined Tasks:

  • Add relevant Task Templates (see Part 2 below).

6. Add Spare Parts:

  • Example: Drip Tray, Inlet Hose, Filter Kit

  • Quantity

Result: When this template is used, tasks and spares are auto-included in the job.

Create a Task Template for Auto-Reuse


Path: Settings > Modules > Tasks > Templates

Purpose: Create standardized task steps like “Install Mounting Kit” or “Verify Machine Calibration,” which can be reused across job types.

1. Click “New Task Template”.

2. Enter Task Info:

  • Template Name: e.g., “Pressure Check”

  • Default Duration (optional)

  • Notes or check items

  • Assign to Role or Team (optional)

3. Save the template.

Use Case: When a Job Template is created, these task templates can be attached, and they’ll auto-generate specific task records in each job.
