Setting Up Job Templates and Task Templates

In FieldEx, job templates and task templates allow Planners to standardise common workflows. Instead of building each job from scratch, you can preload key information such as job type, asset faults, resolutions, task templates, and spare parts. Task templates can also be configured to include spare parts specific to that task.

Setting Up Job Order Templates


Path: Settings > Modules > Job Orders > Templates

Step 1: Create a New Job Template

  1. Click New

  2. Enter a Template Name (e.g., “Monthly Forklift Inspection”)

  3. Set the Status to Active if ready to use

Tip: Use naming formats like “Quarterly PM – Site Tools” or “Emergency Repair – Generator” for easy filtering.

Step 2: Fill in Job Order Details

  • Name: The title used when a job is created from this template

  • Type: Preventive Maintenance, Corrective, Installation, etc.

  • Customer, Project, Site: Optional defaults for common use cases

  • Status: Default status on job creation (e.g., Draft or Open)

  • Order Date: Can default to +1 day from creation

  • Notes: Add checklist instructions or safety reminders

You can also link:

  • Task Templates: These will be automatically added as tasks in the job

  • Spare Parts: These are included in the job order but tracked separately from tasks

Step 3: Asset & Fault Details

  • System: e.g., Electrical, Hydraulic

  • Fault: e.g., “Low Coolant” or “Oil Leak”

  • Fault Details: Short description to guide the technician

Step 4: Resolution & Location Details

  • Resolution: e.g., “Top up coolant and pressure test”

  • Resolution Comments: Any follow-up reminder (e.g., "Verify seals after service")

  • Service Zone: Helps Smart Assignment choose the right technician

Step 5: Additional & Financial Settings

  • Additional Comments: e.g., “Capture before/after images”

  • Billable: Toggle if the job should be invoiced

  • Display Price: Optionally show price to technician

Step 6: Save the Template

Click Save to make your template available for job creation.

Best Practice: Create specific templates by asset type or frequency. Example:
– “Weekly Inspection – Tower Lights”
– “Incident Repair – Lifting Gear”
– “Annual Maintenance – Diesel Generator”

Setting Up Task Templates


Path: Settings > Modules > Task Templates

Step 1: Create a Task Template

  1. Click New

  2. Enter a Template Name (e.g., “Battery Replacement Task”)

  3. Set the Status to Active

Step 2: Configure Task Details

  • Name: Task label shown to the technician

  • Prepend Job Order Name: Optionally prefix the job name to the task for clarity

  • Status: Default status for the task (e.g., Draft)

  • Priority: Helps rank the task in technician calendars

Step 3: Set Scheduling Options

  • Start Time: Default start time for this task (e.g., 09:00 AM)

  • Duration: Planned task length (e.g., 2 hours)

Step 4: Add Additional Information

  • Description: Instructions or notes for the technician

  • Spare Parts: Add parts required for this task—they’ll be automatically added when the task is used

Step 5: Save the Task Template

Click Save to make the template available during job or task creation.

Tip: You can combine templates like this:
Job Template → includes Task Templates → each Task Template includes Spare Parts
This creates a fully-loaded job structure with ready-to-go instructions and resources.
