In FieldEx, each job can include one or more tasks assigned to specific technicians or teams. Tasks represent the actionable units of a job, what needs to be done, who will do it, and when. As a Planner, you can create and assign tasks manually or via templates, ensuring clear expectations and field coordination.

This article explains:

  • What tasks are and how they relate to jobs

  • How to create and assign tasks manually or from templates

  • How to manage task priority, duration, and checklists

What Are Tasks in a Job?

Each job order in FieldEx can contain multiple tasks, each representing a specific part of the job. For example:

  • Job: “Quarterly Inspection – Generator 03”

  • Task 1: “Visual check and diagnostics” – Assigned to Tech A

  • Task 2: “Oil sampling and filter replacement” – Assigned to Tech B

Each task can include its own time estimate, technician assignment, and location.

Method 1: Creating Tasks Manually

Path: Jobs > Open a Job Order > Tasks Tab > Add Task

  1. Click Add Task

  2. Enter a task name and optional instructions

  3. Select the Technician or Team to assign

  4. Set the Estimated Duration and Scheduled Date

  5. Click Save — task will appear in the job timeline

Method 2: Adding Tasks from Template

If your organisation uses repeatable task types (e.g., inspections, cleanings), use task templates to speed up assignment.

  • Path: Jobs > Open Job > Tasks Tab > Create Task via Template

This auto-fills task details, reducing manual input and maintaining consistency.

Method 3: Preloaded Tasks in Job Templates

Job templates can contain a full set of pre-assigned tasks. This is ideal for repeatable workflows like monthly PMs or multi-step installs.

  • Path: Settings > Job Templates > Add Task Section

Each time the job template is used, all linked tasks are created automatically.

Tips for Effective Assignment

  • Use technician workload data (see Calendar View) to avoid overloading individuals

  • Group tasks by site or project to reduce travel time

  • Assign to a team instead of a single person for more flexible scheduling

  • Always include a checklist for critical procedures or compliance tasks

Tip: You can edit or reassign tasks after job creation if schedules change or a different technician becomes available.
