Teams – How to Group and Assign Team Tasks

In FieldEx, teams allow you to group multiple technicians under a shared label such as a department, shift crew, or geographic unit. Planners can assign tasks to the entire team or use smart assignment to distribute tasks to selected members.

Creating and Managing Teams


Path: Settings > Users > Teams

  1. Click New or Edit to manage an existing team

  2. In General Details, fill in:

    • Team Name

    • Geofence (optional boundary or service area)

    • Description (e.g., coverage zone, shift, or function)

  3. Under Team Settings, decide whether this team configuration:

    • Require members to accept or decline tasks

    • Require check-in/out from task location

    • Include team manager(s) in Smart Assign suggestions

  4. Add team members and click Save

Assigning Tasks to Teams


Path: Jobs > Open Job > Tasks Tab > Add Task

Option 1: Assign Entire Team

  1. In the Team field, select the relevant team

  2. Click Assign to assign the task to all members

Option 2: Use Smart Assign

  1. In the Team field, select the relevant team

  2. Click Smart Assign to view team members

  3. Decide and select Task Owner

  4. Deselect any members who should not receive this task

  5. Click Assign to confirm

Once assigned, the task appears in each member’s mobile app. The first to accept the task becomes the active assignee.

Tip: Use Smart Assign to tailor team coverage per job that is great for handling urgent calls or location-specific constraints.

When Team Assignment Makes Sense


Assigning tasks to a team (or a subset) is ideal when:

  • You manage rotating shifts or geographic teams

  • You need flexible first-available response

  • You’re coordinating backup technicians for large-scale jobs

Teams ensure consistent coverage and dispatch flexibility even when individual availability changes.
