FieldEx makes it easy to manage large inventories and serialized items through batch uploads and serial number tracking. These tools ensure you can quickly onboard spare parts or assets in bulk, while maintaining traceability for high-value or regulated equipment.

Tip: Use batch uploads during initial system setup, warehouse intake, or when migrating historical records into FieldEx. Always validate your CSV using the sample template to avoid import errors.

What Is a Batch Upload?


Batch upload allows you to add multiple items (assets or spare parts) to the system using a CSV file, saving time compared to manual entry.

Use batch uploads when:

  • Receiving bulk inventory

  • Migrating from a previous system

  • Setting up initial inventory during onboarding

Batch uploads are done from the web dashboard.

How to Upload in Bulk


Path: For spare parts: Settings > Import/Export > Spare Parts
Path: For assets: Settings > Import/Export > Assets

Steps:

  1. Download the CSV template provided

  2. Fill in required fields such as:

    • Item name / Asset name

    • Part number / Serial number

    • Quantity (for parts) or count (for assets)

    • Bin assignment

    • Additional metadata (type, status, supplier, etc.)

  3. Upload the completed file

  4. Review and confirm the import

FieldEx will validate the file. Any errors will be flagged with guidance for correction.

  • Assets that require inspections, calibration, or certification

  • Customer-owned equipment or rentals

How Serial Tracking Works in FieldEx

Each asset gets:

  • A unique serial number

  • Its own asset record in the system

  • A traceable history of:

    • Location and ownership

    • Service and job activity

    • Movements between bins or sites

    • Condition and status updates

Where to Enter or Upload Serial Numbers

  • Manual Entry: Assets > New Asset > Enter serial number

  • Batch Upload: Use the Serial Number column in the import CSV template (one row per serial)

  • Scanning Option: FieldEx Mobile > Scan QR > View or verify serial during jobs

Viewing Serial Number History


You can view the full history of any serialized asset:

Path: Assets > Select Asset > History

Includes:

  • Creation and import date

  • Transfers between bins

  • Jobs performed

  • Checklist results

  • Condition changes

  • User or technician actions

Real-World Tip: Use serial number tracking for anything that will be returned, serviced repeatedly, or audited for warranty like compressors, laptops, or customer-loaned equipment.
