Tip: Any equipment that is assigned, moved, used, or maintained should be registered in FieldEx to enable full lifecycle tracking. |
What Does It Mean to "Register an Asset"?
Registering an asset means creating its digital identity in FieldEx, which includes:
Unique identification (e.g., serial number)
Classification and ownership
Current location and custodian
Lifecycle status (in use, repair, retired, etc.)
Option 1: Manual Registration (One-by-One)
Use this when adding a single item or making real-time entries during site visits or handovers.
Path: Asset > New Asset
Steps:
Click New Asset
Fill in:
Asset Name
Serial Number (must be unique)
Asset Type
Status
Assign to:
Bin (e.g., technician or location-based)
Optional: Customer, Site, or Project
(Optional) Add notes, QR code, photos, documents
Click Save
Option 2: Bulk Upload via CSV
Use this when importing multiple assets, such as during system rollout or mass onboarding.
Path: Settings > Import/Export > Assets
Steps:
Download the CSV template
Fill it with:
Asset name and serial number (one row per asset)
Type, status, assigned bin
Optional: Site, project, customer
Upload and review validation messages
Confirm import
Each row creates a fully registered asset in your database.
Option 3: AI-Powered Import via On-board Dashboard
Use this for fast, intelligent onboarding when setting up a new account or trial environment.
Path: On-board Dashboard (Web Login) > Import Your Asset
Steps:
Login to the FieldEx web app
From the On-board Dashboard, select “Import Your Asset”
Upload:
An Excel or PDF file
Equipment handover sheet
Previous asset list (even loosely formatted)
The system will automatically:
Detect asset names and serial numbers
Suggest asset types, statuses, and bin assignments
Let you review and confirm before saving
Ideal for non-technical users or quick-start onboarding without needing CSV formatting.
Tips for Reliable Registration
Always assign a bin — assets cannot float
Use accurate serial numbers for traceability
Label clearly (e.g., "Pump – 1000L" instead of just "Pump")
Set initial condition and status appropriately (e.g., “In Use” vs “Under Inspection”)
