Assigning Assets to Custodians

In FieldEx, the Custodian is the person directly responsible for the asset whether it’s stored in their van, used at their site, or under their supervision. Assigning custodians ensures accountability, improves asset traceability, and supports accurate reporting.

This article explains how asset custodian assignment works, where to set it, and how it supports your day-to-day responsibilities.

What is a Custodian in FieldEx?


A Custodian is a designated user who:

  • Has physical responsibility over the asset

  • Is accountable for its location, usage, and condition

  • May be asked to approve transfers, submit inspections, or flag issues

This role is visible inside the asset record and can also appear on reports or job assignments.

Where to Assign a Custodian


Web Path: Assets > New Asset or Assets > Edit Asset

  1. Scroll to the Hierarchy and Classification section

  2. Find the Custodian field

  3. Select a user from the dropdown list

  4. Click Save on the asset

Tip: You can change the custodian at any time as responsibilities shift.

How It Works with the System


When a custodian is assigned:

  • The asset becomes part of that user’s visible asset list

  • Transfers or updates may notify the custodian (depending on settings)

  • The custodian’s name appears in audit trails and asset histories

  • Jobs or checklists can be filtered by custodian for field dispatch

Important: This field is separate from the Assigned Bin. A bin might hold the asset physically (e.g., VAN-123), while the custodian is the person responsible for it.
