What is a Requisition vs. Consignment?

Written by Faith Maldoner

Understanding how spare parts and equipments are supplied, requested, and accounted for is key to managing inventory effectively. FieldEx supports two distinct methods for managing part supply: Requisition and Consignment. Each method affects how parts are requested, tracked, and transferred.

Requisition

A Requisition is a formal request raised by a user that is usually a technician or site team to receive specific spare parts from a warehouse or central store. This process is used when the item is not yet in the user’s possession and must be issued.

  • Typically initiated by: Field user or planner

  • Requires approval: Yes (based on configuration)

  • Stock ownership: Remains with the warehouse or original placement until issued

  • Use case: Requesting parts or equipment ahead of a job

Example: A technician creates a requisition for 2 filters and 1 belt needed for an upcoming machine service. Once approved, the warehouse picks and issues the items, and ownership is transferred.

Consignment

Consignment means a quantity of spare parts or equipment is pre-assigned to a technician or site, but ownership remains with the warehouse until the part is actually used. This allows parts to be on-hand without triggering an issue transaction until consumed.

  • Typically initiated by: Warehouse manager or planner

  • Requires approval: Yes (based on configuration)

  • Stock ownership: Still belongs to warehouse until used

  • Use case: Stocking van bins or remote locations with critical part

Example: A technician is assigned 10 fuses and 5 hoses in consignment. Items are then allocated to the users' bins and will be deducted once used in a job.
