This FAQ page answers commonly asked questions about setting up and using FieldEx. The responses below cover system behavior across the Web and Mobile platforms for modules such as Job Orders, Access Rights, Checklists, Spare Parts, Assets, Tasks, and Inventory.

Setup FAQs


Job Order: Why are some dropdown values (e.g., fault codes) not showing up when I create a job?

The dropdown values may be inactive or not associated with the current job type. Go to Settings > Dropdowns to review status and associations.

Access: Why can't I see the same module tabs as my admin or planner?

Modules are controlled based on each user's access and permissions. Some users may have broader access, allowing them to perform additional actions such as deleting records or accessing restricted modules.

Access: I added a new user to the system, but they didn’t receive the email. What is causing this?

A few possible factors include the email being flagged as spam or an incorrect email address being entered during user creation.

Hierarchy: Why can't I see a record but others can?

Hierarchy in FieldEx controls which data a user can see. If a company has 3 branches, each branch user will only see jobs, tasks, and assets for their own branch. HQ-level users can view everything across branches.

Checklist: How do I update asset status after a checklist?

Ensure that the checklist configuration allows asset status updates directly within the checklist. This is set up in Setup > Workflow > Checklist.

Checklist: Why does my checklist not appear in the dropdown option?

Ensure the checklist setup is not limited to specific asset types. Leaving asset-type fields empty allows the checklist to apply to all assets.


Web FAQs


Spare Parts: Why are my spare parts not deducting from bin stock after a job?

Parts are only deducted if they are consumed from a specific bin. If no bin is selected, stock remains unaffected.

Asset: Why is my asset data not producing a QR or barcode?

QR/barcodes require a unique serial number. If a serial number is missing, the code will not be generated.

General: Why can't I delete a record even though it's inactive?

Records still linked to jobs, contracts, schedules, or other modules cannot be deleted. Remove associations first.

Job Order: Why is a job template missing from the Create Job dropdown?

The template may be set as inactive. Go to Setup > Job Order > Job Templates and activate it.

Job Order: I want to assign a task to a specific team, but the team is not in the dropdown.

Only teams that the current user manages or belongs to will appear in the dropdown.

Inventory: I can't transfer items from my User Bin, nothing shows up.

You must be a bin manager of the source or destination bin. Only available items in your assigned bin are shown.

Asset: How do I link child assets to a parent asset?

Go to the asset record, then add child assets under the Accessories tab.

Checklist: Can I trigger follow-up jobs based on checklist inputs?

Yes. Set this up in Setup > Workflow > Checklist by defining a flagged answer that triggers a job template.

Task: What’s the difference between Assign and Smart Assign?

Smart Assign auto-assigns technicians based on availability, skills, and location. Manual assign does not check these conditions.

Mobile FAQs


Task: Why can't I start a task from the mobile app?

Ensure the task is assigned to you and that your device is online.

Spare Parts: Why can’t I find certain parts in a job?

You can only use spare parts from your assigned user bin. Make sure the part is stocked in your bin.

Job Order: How do I include a signature or name in my job completion form?

Tap Sign & Complete, select which data to include in the PDF (name, ID, signature), then proceed to complete the job.

Task: How do I communicate with my team for an assigned task?

Use the Notes section within the task to leave comments and attach files. Notes are visible to all assignees.

Task: How do I view the journey taken by my team?

Open the task and navigate to the Journey tab to view the travel path logged during the job.
